  TITLE: Executive Office Manager

REPORTS TO: State Director

LOCATION: Seattle, WA

REASON FOR OPENING: Replacement

POSITION PURPOSE:
Provide administrative support to the State Director, Executive Director Greater Puget Sound Division and Chapter Management Team in order to advance chapter initiatives and achieve chapter goals. 

POSITION RESPONSIBILITIES:
  • Schedule appointments, arrange meetings and travel as needed.
  • Make arrangements and coordinate all logistics for board and state team meetings.
  • Direct phone calls and process mail for State Director.
  • Manage volunteer database for annual donors, President’s Society members and board members.
  • Serve as backup for data entry on VDEM, CWMS & Auction Tracker
  • Process and maintain chapter and division files and records including matching gifts.
  • Prepare correspondence and provide administrative support as needed.
  • Order/purchase office supplies and maintain inventory as needed.
  • Prepare weekly March for Babies status reports.
  • Oversee completion and submission of regional and national reports to insure accuracy and deadlines are met.
  • Create PowerPoint presentations to support meetings


QUALIFICATIONS REQUIRED:
  • Bachelor’s degree or equivalent.
  • Minimum of 4 years senior administrative experience.
  • Proficient in Microsoft Word, Excel, PowerPoint and Desktop Publishing required; Photoshop and/or Indesign also preferred.
  • Self-starter, excellent people skills; excellent phone, verbal and written communications.
  • Demonstrated organizational and multi-tasking skills also required.
