TITLE: Secretary
REPORTS TO: State Director
LOCATION: Milwaukee, WI
REASON FOR OPENING: Replacement
POSITION PURPOSE:
To provide administrative/clerical support with typing, data entry, mailing, record keeping, telephone, correspondence and other responsibilities associated with volunteers, office staff, and general public.
POSITION RESPONSIBILITIES:
¨ Provide secretarial support, such as typing, data entry, photocopying, filing, collating, drafting correspondence, scheduling meetings, assisting with incoming and outgoing mail and shipping, and preparing reports, agendas, minutes, presentations, and fulfilling other general office requests
¨ Handle receptionist responsibilities: greet visitors, answer and route telephone calls and voice mail; fulfill requests for information and pamphlet distribution, etc.
¨ Schedule and coordinate meetings, makes travel arrangements, maintain executive’s calendar, assist with the coordination of fundraising events
¨ Maintain and update records for fundraising
¨ May order and maintain office supplies
QUALIFICATIONS REQUIRED:
¨ 2 to 3 years experience required; working as a secretary or administrative assistant preferred
¨ High school degree or Associate or Technical degree or equivalent required
¨ Excellent interpersonal and communication skills
¨ Good organization skills and able to manage multiple tasks while remaining flexible and calm
¨ Working knowledge of Microsoft Office Professional
¨ Ability to speak a second language useful
¨ Experience with the March of Dimes a plus
